Mark the TOP of the artwork with a “T” on the back so it prints correctly.

‘Look What’s Coming’ Announcement Letter
Use this letter to announce the program to families. We suggest you send it home approximately 1 week prior to sending home artwork/order packets. If you can’t copy/print the letter in color, consider copying it on brightly colored paper so that parent’s notice.

Art can still shine—even without a dedicated art class! Here’s how schools successfully incorporate artwork into their regular classroom schedule:
15–20 Minutes a Day
Homeroom teachers often set aside 15–20 minutes a day over a week for art creation.Declare an Art Awareness Week

🌍 Tie the Artwork to Your Curriculum
Integrating class topics into artwork makes the experience more meaningful—and easier to plan! Here are a few ideas by grade level:
1st Grade – Oceans, sea life, or animal classification
3rd Grade – Rainforests, habitats, ecology
4th Grade – State history, historic figures, self-portraits in historical attire
6th Grade – Space, marine life, weather, or the solar system
Same subject matter across grade levels? Even better—it keeps things cohesive and simple.
🧾 Orders: From Artwork to Original Works
Once student artwork is complete, it’s time to package it up and send it home to families in their family packets. This part is key—so stick to your schedule and follow these steps for a smooth process.
1️⃣ Dear Family/Pricing Letter
You received this custom letter (with pricing and ordering info) via email.
Print and copy. PRO TIP: Use bright colored paper so it stands out.

2️⃣ Prepare Family Packets
Place the completed artwork and Pricing Letter into the pre-stuffed family packets from your supply box.
For easy classroom distribution, slide the artwork into the back of the packet with the student’s name facing out.
🧑🎓 Time-saving tip: Have students insert their own artwork into the envelopes, or recruit older students/volunteers to help!
3️⃣ Collect Orders
Families return:

4️⃣ Prepare Orders for Shipment
Tape the white copy of the order form to the back of the matching artwork.
🚫 Don’t fold tape over the edges of the artwork.One order form per piece of art
Keep the yellow copy for your records.
Organize everything in folders by class and grade (we’ll pack the finished products that way for easy distribution).
5️⃣ Shipping Form D
Download, complete, and include Shipping Form D with your shipment.
6️⃣ Ship Your Orders
Use the prepaid UPS shipping label from your supply box.
Drop the package at a UPS Store, authorized center, or hand it to any UPS driver.
Protect the art! We recommend placing everything in a large plastic bag inside the box to guard against weather.

If your total wholesale order is $300 or more, shipping is FREE.
Less than $300? A $25 shipping fee will apply.
💡 Modern Payment Solutions for School Fundraising
While Original Works doesn’t handle payment collection, we do have a few recommendations for easy, school-friendly options that other Coordinators have had success with.

Cash
It’s still a simple, accessible option. Just be sure to have a secure collection box and a reliable system to track who paid and how much.Venmo / PayPal / Cash App
Many PTA/PTOs already have these accounts set up. It’s a fast and easy way for parents to pay digitally.School Payment Portals
If your school already uses a system like SchoolCash Online, RevTrak, or Cheddar Up, you can add your Original Works fundraiser there for easy tracking.Custom Google Form + QR Code
Create a form where parents can upload payment screenshots (Venmo/etc.) and add a QR code to the flyer to make paying simple.Square Reader (for in-person events)

🎁 Product Distribution: Time to Celebrate!
The most exciting part is here—your students’ custom keepsakes have arrived! Get ready for a school-wide smile-fest as you unpack and distribute those one-of-a-kind treasures.
📦 Orders Have Arrived!
Orders will be delivered to your school based on the scheduled delivery date listed in your confirmation email.
Everything will be organized exactly as you sent it (by class and grade), making distribution easy-peasy.
🚚 Important Note:
Towels, Blankets, Mats, and Tumblers are shipped separately from one of our trusted partner vendors and may arrive on a different day.

🎨 Student Packages
Each student’s packet includes:
Their original artwork & order form
The products that were ordered
Care instructions for their keepsakes
Note: Ceramic mugs are packaged separately and clearly labeled in the shipping boxes.
🙌 Recruit Some Help!
Unpacking the keepsakes can be a big job—but it’s also a really fun one.
Enlist volunteers or older students to help with the process.
Parents especially love seeing the products and artwork—it’s a great time to get them involved!
💡 Want to say thanks? Offer volunteers the chance to purchase products at wholesale price as a token of appreciation.
Payment
Payment is due upon receipt of invoice. Your invoice will be emailed to the billing contact listed on your confirmation.
Payments Accepted:
- Checks made payable to Original Works.
- eCheck payments are accepted from schools running programs. We do not accept eCheck payments from parents.
- Credit card payments can be made by calling the Original Works Finance dept. at 518-584-9278

🔁 Additional Orders: Every Order Counts!
Late orders? Re-orders? Absolutely! Additional orders are common—and they’re a great way to boost your program’s profits.
🗂️ 1. Collect Orders
Late orders may include:
New orders from families who missed the deadline
Re-orders from families who already placed an order but want more
📌 If it’s a re-order:
There’s no need to resend artwork—but families must provide:
The original order form number
A brief description of the artwork
This lets us retrieve the file from our files.
📄 2. Shipping Form C
Download, complete, and include Shipping Form C with the late orders.
Your first batch of additional orders ships back to the school for free.
Any additional batches incur a flat $10 shipping fee.
🚚 Note: Delivery dates for late/additional orders are not guaranteed. We’ll ship them as soon as possible.
💡 Promote a “Second Chance!”
Remind families:
🎉 It’s not too late!
Encouraging late or additional orders gives families another opportunity to purchase keepsakes—and gives your program one more chance to grow your bottom line.
Promote a Second Chance Order Window on your school’s website, social media, or newsletter.
These orders earn the same profit as your main order. Every extra order = extra earnings!

Hang Posters Around School – Use our posters or have students create some to use in high-traffic areas: lobby, office, hallways, pick-up/drop-off zones.
- Create a Front Office Display – Show off sample products. Instant “oohs” and “ahhs”!
Add to Morning Announcements – “Support our school and celebrate your child’s art—order by Friday!”
Send Home a Reminder Flyer – Quick reminder + ordering info = last-minute lifesaver.
Use School Newsletters & Emails – Drop in a graphic and important dates.
Backpack Stuffers – Because sometimes, paper is still necessary.
PTA or Class Parent Boost – Ask your MVPs to help spread the word via texts or social groups.

Consider offering incentives- these don’t have to cost anything and can be fun way to everyone involved.
🏆 Top Seller Rewards
Art Star Award – Prize for the student with the highest sales. This can be a special privilege such as front-of-the-line passes, the role of principal for a day, or a special lunch.
Principal for a Day – The top seller gets to wear a suit (or crown) and run the school… sort of.

🛠️ Customer Service: We’ve Got Your Back
While every order goes through a careful quality check before leaving our facility, the occasional “oops” moment happens. If something isn’t quite right, we call it a Fix-It, and our Customer Service Team is ready to help make it right—fast.
🚨 “Fix-It” Situations – What Counts?
Submit a Fix-It Form (Form F) if your order meets one or more of these criteria:
🧵 Material Defect: A chipped mug, hole in a towel, broken tile, etc.
🎯 Wrong Item: Ordered a sketchbook but received a memo pad.
🔄 Improper Reproduction: Artwork is upside down or incorrectly placed.
📦 Missing Product: Item was invoiced but not included in your shipment.
🎨 Do You Need to Return the Artwork?
Yes, send the artwork back if the issue involves:
Color quality problems
Blurry image
Wrong image used
No, don’t send the artwork back if the issue is:
A missing item
A damaged item

🗃️ Image Retention Policy
We keep artwork images on file for a limited time:
Fall programs: Images retained through March 1
Spring programs: Images retained through September 1
If a Fix-It is submitted after these dates, you’ll need to resubmit the original artwork.
🧠 Helpful Coordinator Tip
Set a clear deadline for parents to report issues (e.g., 5 days after products are sent home).
This way, you can collect all Fix-It requests and submit them in one go—easy for you, fast for us!
